What data we collect and why
Contact and booking information Name, email address, phone number and appointment details. We collect this to manage bookings, send appointment confirmations and reminders, and communicate with you about your care. GP details, collected in accordance with AFPA professional guidelines.
Health information As a healthcare provider, we collect detailed health and medical information including your medical history, current medications, test results, fertility history and other clinically relevant information. This is special category data under GDPR and is collected solely for the purpose of providing you with safe, effective and personalised acupuncture treatment.
Financial information Payment records for sessions attended. We do not store card details — payments are processed securely through Stripe (via Jane Payments) and SumUp.
Website data Standard analytics data including pages visited and time spent on site. This is collected in aggregate and is not linked to individuals. See our Cookie Policy below.
The legal basis for processing your data
We process your contact and booking information on the basis of legitimate interests and contractual necessity — we need this information to provide the service you have booked.
We process your health information on the basis of your explicit consent, which you provide when completing your intake form, and for the purposes of providing healthcare. You have the right to withdraw consent at any time, though this may affect our ability to provide treatment safely.
How we store your data
Client records are stored securely using Jane App (practice management software). Health records are retained for a minimum of seven years in accordance with Irish healthcare record-keeping guidelines, or eight years where treatment involved a minor.
Paper records, where applicable, are stored in locked filing.
Who we share your data with
We do not sell or share your personal data with third parties for marketing purposes.
We may share relevant clinical information with other healthcare providers involved in your care - for example, your GP or fertility consultant - but only with your explicit consent.
We use the following third-party services which may process your data:
Jane App (practice management and booking)
HubSpot for newsletter subscribers only
Google Analytics (anonymised website analytics)
All third-party processors are required to handle your data in accordance with GDPR.
Your rights
